Cards on file, e-transfers matched, cash accounted for
Cards renew themselves. Interac e-transfers match to the right subscription even from a mystery Gmail. Cash reconciles per run. One screen shows who still owes you.
In Canada, tiffin gets paid for by Interac e-transfer. It is instant, free to the customer, needs no card, and works for the international students and new arrivals who make up much of the market. A kitchen that refuses e-transfer is turning away business.
It is also, for a subscription business, the worst-designed payment method imaginable — and the reason month-end takes three hours.
Why e-transfer reconciliation is genuinely hard
A card payment arrives attached to a customer. An e-transfer arrives attached to whatever the sender's bank felt like sending. The email is a personal Gmail from 2012, or a spouse's. The name is a legal name — your list says Sunny, the transfer says Sukhwinder. The amount is $300 against a $302 plan. The memo field says "food", or nothing.
Multiply that by sixty customers and you get the scene every owner recognises: a banking app at 11pm, a notebook, and a growing suspicion that somebody has been eating free since February.
What Tiffinware does about it
Incoming e-transfers are matched to the right subscription as the notification lands. The important part is the memory: the first time a payment arrives from an unfamiliar address, it is learned against that customer. It never changes, so the hardest match in your book becomes automatic for every payment after it.
That single behaviour is what turns reconciliation from an evening into a glance. There is more on the operational side of this in collecting Interac e-transfers without losing track.
Cards, for the customers who want them
Customers can keep a card on file and be charged automatically at each renewal, through Stripe. Those customers never appear in your reconciliation at all.
This is not about replacing e-transfer — you will not talk Canadian tiffin customers out of it. It is about reducing its volume. Even a third of your book on cards makes month-end meaningfully shorter, and it removes the most common reason a subscription lapses: nobody remembered to send the money.
Card processing fees can optionally be passed through to the customer, or absorbed — your call, set per kitchen.
Cash, accounted for
Cash still moves in this business. Drivers record cash collected per run in the driver app, so it reconciles against deliveries instead of being counted out of a jacket pocket at the end of the week.
One screen for who owes you
Paid, due, overdue — in one view, across all three payment methods. Combined with the renewals and revenue at risk report, that is the difference between a renewal saved by a three-day reminder and a subscription that lapsed unnoticed.
And the tax side
GST/HST collected is reported over any date range, alongside refunds and your payment mix, with the tax rate and label configurable per business. Tax you collect is money you are holding for the CRA, not revenue — kitchens that keep it in one pot spend it.
If you are not sure whether you should be charging tax at all, GST/HST for tiffin businesses in Canada covers the $30,000 threshold and why prepared meals are treated differently from groceries.
Everything above is included at $99 a month, with 0% commission — the bill does not move when your order volume does. Open the live demo to see the payments screen with sample data.
